Company flags allow for powerful searching on your clients and an additional artwork feature allows you to tag the client with basic instructions in relation to the placement of their advert in your publication.

1 - How to add new company flags

Step 1 - Go to the main Settings Page.

Step 2 - Under the Customers & Actions > Select Company Flags.

A list of company flags set up will be displayed. 

Step 3 - Click on the green New Flag button to open the manage flags dialogue box.

Step 4 - Under Flag enter a name for the flag

Step 5 - Under Description add an optional description.

Step 6 - Select an Icon to represent the company flag. (There are over 500 to choose from, so use the blue left and right buttons to scroll through the various options or type into the Find Icon search box.)

Step 7 - Select a Colour to represent the company flag.

Step 8 - At the bottom of the Manage Flag dialogue box, you have switches to do the following:

Enabled - This flag is switched on (green) by default and indicates that the flag is available to use.  If you no longer want to use this flag, click to switch it off (grey).
Allowed Bookings - This flag is switched on (green) by default and Indicates that bookings ARE allowed for clients with this flag.   Click to switch it off (grey), if clients with this flag are NOT allowed to book.
Advert Flag - This is an additional feature - See Section 7.
Require Booking Confirmation - If you switch this on (green) booking confirmations will be required for clients with this flag.
 

 

2 - How to delete a company flag

When a flag is no longer required it can be deleted provided it is not assigned to a client.  If the flag is assigned to a client the delete option will not be visible.  You would have to remove the flag from the client first.

Step 1 - Go to the main Settings Page.

Step 2 - Under the Customers & Actions > Select Company Flags

Step 3 - Click the company flag name to open the manage flag dialogue box.

Step 4 - Click Delete.

Step 5 - Click Yes to confirm.

3 - Do not allow bookings company flag

You can create a special company flag to indicate to your team that they must not book a client.  When you create the company flag, toggle off the switch labelled 'Allow Bookings'.

Now when you add this flag on a client, you will see the following on the clients bookings tab, and your team will not be able to create a new booking for that client.

 

4 - How to add company flags to a client record

The quick option

Step 1 - Open client record.

Step 2 - Click the flag icon next to the client's name, to open the Manage Flags dialogue box.

Step 3 - Click where it says Choose and select the flag(s) from the drop-down menu. 


Step 4 - Click Save.

 

The alternate option

Step 1 - Open client record.

Step 2 - Select the Details tab.

Step 3 - Scroll down to Flags > Click inside the text box > Select the flags from the drop-down menu.

Step 4 - Click Update to save.

 

5 - Using company flags in searches

You can use flags to search for clients on the Clients screen, the Bookings screen, the Renewals screen and the Invoicing screen. You can also use flags to select specific clients when creating a mailshot.

Step 1 - On the Clients screen, other screens are the same.

Step 2 - Click the filter (funnel icon) in the header of the Flags column, to open the is/not flag search icons across the top.

Step 3 - Click on a company flag in the top row ('IS') will return a list of your clients with that company flag.  Example above displays clients with the Direct Debit company flag.

Step 4 - Click on a company flag on the second row ('NOT') will return a list of clients who do not have that flag.

For example, if you choose the flag “events” on the top row, and “bad payer” on the second row, it will return a list of clients who have the “events” flag but do not have the “bad payer” flag.

Step 5 - To print or download the list of clients generated from the search.  Click on the printer icon on the top right of the screen and a drop down will appear, choose the from PDF, Excel Spreadsheet or CSV file.

 

6 - Using flags for an advanced logical search

You can access an even more powerful logical search with the AND/OR toggle. If you want to use this, you first need to enable it by going to System Defaults and switching on ‘Show AND/OR toggle on Flags Search’. 

You will now see the word ‘OR’ included in the flag search, and when you click on this, it will toggle to ‘AND’.

Suppose for example we are searching for clients with the leaflet flag or the 7-day flag. When we click this flag, we get a long list.

We now click “OR” so that it toggles to AND. This time if the same flags are selected, we will only see clients that have both the leaflet flag and the 7-day flag, a shorter list.

 

7 - Advert flags - settings

Advert flags allow you to tag the client with basic instructions in relation to the placement of their advert in a publication. This helps to easily identify these adverts when it comes to placing them onto the flat plan.

Step 1 - Create the company flag as per Section 1.

Step 2 - Turn on the Advert Flag toggle switch.

Step 3 - Click Save

Step 4 - The flag is added to the client the same as in Section 4.

When the Advert Flag is switched on the following additional features appear:

Right Hand Page - This is switched off (grey) by default. Click to switch it on (green), when this flag is added to a client you will only be able to place their advert on a right hand page in the flatplan.
Allowed Pages - You can specify in the text box which pages the advert can be placed on in the flatplan.

Allowed Pages Examples: 
1-10 - When this flag is added to a client it would indicate that their advert can only be placed on pages 1-10 on the flatplan.
1,3,5,7 - When this flag is added to a client it would indicate that their advert can only be placed on pages 1,3,5 & 7 on the flatplan.
2,47 - When this flag is added to a client it would indicate that their advert can only be placed on the inside cover pages 2 and 47 (based on a 48 page issue).

NOTE: Taking the first example above '1-10' - please bear in mind that if you get very specific with your 'allowed pages' and you try to place the advert on page 11 MagManager won't allow it.  You would either need to change the settings of the advert flag or remove the flag from the client record.

 

7.1 - Advert flags - examples

Example of settings for 'First 10 Pages RHS' and 'Near Front'

In the' Near Front' example you would need to enter the page numbers in the 'Allowed Pages' field to suit the pagination of your publication eg Near Front could be pages 1-5 or pages 1-10 etc - depending on your requirements.

7.2 - Advert flags - on the flat plan

When viewing the flat plan, the advert flags will appear next to the client's name in the sidebar. This is best viewed with 'Show Artwork' set as off.  

Once the artwork is placed onto the flat plan, the advert flags will be displayed along the bottom of the advert.

Note: The purple arrow top right of the advert on the flat plan will appear for all flags that have the 'Right Hand Page' setting switch on.

To see a description of what the advert flag represents, hover over the flag.  In the example below this flag represents 'Page Requested DO NOT MOVE'.
