How to add a miscellaneous booking in MagManager

Miscellaneous bookings are used to add sales for items other than adverts/content eg artwork charges, leaflets etc.  These miscellaneous sales items need to be set up before they can be booked.

Miscellaneous sales items can be booked against Miscellaneous or against a publication & issue.  Depending on how the miscellaneous sales item is set up, the sales figures will be included under Miscellaneous on the home page or included within the publication total on the home page. 

 

Steps to add a miscellaneous booking in MagManager:

 

Miscellaneous booking included in publication sales total 

Example: Advert Design Charge
Set to include in publication sales total.

Step 1 - Select Clients on the top navigation bar > Click the client name to open the client record.

Step 2 - Select the Bookings tab - then Miscellaneous tab

Step 3 - Locate the publication name in the side bar and the corresponding month/issue in the header, then click where it says ‘Click To Book’, a green tick will appear.

Step 4 - Click the green Complete Booking button top-right of the screen.

Step 5 - Click Please Select - then choose the item eg Artwork Charges from the drop-down menu.

Step 6  - Add a Description if required

Step 7 - Check the price and update if necessary.

Step 9 - Add a discount if required.

Step 10 - Add a purchase order number if required.

Step 11 - Click Save Booking - the artwork charges booking will appear as below on the client’s Miscellaneous Tab

 

How the booking is displayed on the bookings screen

Go to the bookings screen, accessed via the top navigation bar.  Select the publication & issues you wish to view from the sidebar - the bookings will be displayed.  To filter the bookings add the name eg Artwork Charges to the search box.

 

How the booking is displayed on the home page dashboard

The value of the sale is included within the publication totals under Total Booked on the home page dashboard.

 

 
 

Miscellaneous booking included in miscellaneous sales total

Example: Leaflet Design Booking - 6 months October to March
Included in miscellaneous sales total.

Step 1 - Select Clients on the top navigation bar > Click the client name to open the client record.

Step 2 - Select the Bookings tab - then Miscellaneous tab

Step 3 - Locate the Miscellaneous in the side bar and the corresponding month/issue in the header, then click where it says ‘Click To Book’, a green tick will appear.

Step 4 - Click the green Complete Booking button top-right of the screen.

Step 5 - Click Please Select - then choose the item eg Leaflet Design from the drop-down menu.

Step 6  - Add a Description if required

Step 7 - Check the price and update if necessary.

Step 9 - Add a discount if required.

Step 10 - Add a purchase order number if required.

Step 11 - Click Save Booking - the leaflet design booking will appear as below on the client’s Miscellaneous Tab

Miscellaneous booking for digital services

Digital services that do not require space on the flatplan, can be set up as miscellaneous sales items. 
Services such as website banners, social ads, newsletter ads & marketing packages.  If you have a large volume of these types of bookings, a separate publication can be set up to manage these and providing the miscellaneous sales items have 'Include in publication total' enabled the sales will appear together under the publication name. Otherwise use options above.

Step 1 - Select Clients on the top navigation bar > Click the client name to open the client record.

Step 2 - Select the Bookings tab - then Miscellaneous tab

Step 3 - Locate the publication name in the side bar and the corresponding month/issue in the header, then click where it says ‘Click To Book’, a green tick will appear.

Step 4 - Click the green Complete Booking button top-right of the screen.

Step 5 - Click Please Select - then choose the item eg Artwork Charges from the drop-down menu.

Step 6  - Add a Description if required

Step 7 - Check the price and update if necessary.

Step 11 - Click Save Booking - the artwork charges booking will appear as below on the client’s Miscellaneous Tab

Steps to Add notes/attachments to a miscellaneous booking

 

Step 1 - Open the booking by clicking on the blue box

Step 2 - Click the gold or green Notes/Attachment button.

Gold  - indicates the item does NOT have the requires artwork setting switched on. It will only turn green if you add notes or files to the booking.
Green - indicates the item has the required artwork setting switched on and can be tracked on the Artwork screen.

Step 3 - To upload an attachment, click on the box under ‘Attachments’ and select your file or drag and drop the file to upload it > Add any relevant notes in the text box to the right > Update the Status as required.

Step 4 - Click save to update.

 

Multiple pieces of artwork

If multiple pieces of artwork are attached, clicking on one will highlight all the files uploaded at that time, the note entry will be highlighted to the right and the details appear in the text box along with links to download the files at the bottom.

Sorting order of attachments

When viewing the ‘Notes/Attachment Details’.  Clicking on the Attachments header bar will reorder the columns by either Name, Date or Uploaded By.

 

Viewing notes/attachment details

When you open the booking, the ‘Notes/Attachments’ button will appear green if the item booked has the 'Requires Artwork' setting enabled. It will also appear green if you have uploaded files or added a note when the 'Requires Artwork' setting is disabled.

 

Steps to find miscellaneous bookings:

On the booking screen

Step 1 -  Open the Bookings screen from the top navigation bar - a list of your Publications & issues are displayed in the left side-bar.

Step 2 - Select the publication & issues you wish to view the bookings for.

Step 3 - As the Artwork Charges are booked under a publication and issue, these bookings will appear when that publication & issue are selected and will not appear when Miscellaneous is selected.

 

Step 4 - As the Sidebar Banner is booked under miscellaneous, it will appear when Miscellaneous is selected from the sidebar.

TIP: Use the Search box on the bookings screen to easily locate your miscellaneous booking by type.

 
 

On the home page dashboard

Miscellaneous sales items booked into a publication & issue

Provided the miscellaneous sales item setting has 'Include in Publication Total' enabled, the sales are included within the publication totals. If this setting is not enabled the sales total will be included under miscellaneous.

Example where Include in Publications is enabled. The sales total is included in Total Booked for that issue.

Example where Include in Publications is NOT enabled. The sales total appears under Miscellaneous.

 

Miscellaneous sale items booked under Miscellaneous

 Will only appear when Miscellaneous is selected from the side-bar.

In the example below the Sidebar Banner bookings are displayed when Miscellaneous is selected from publications and July to December are selected from Issues.
