Client screen tabs
These notes refer to how clients are categorised on the MagManager Client screen. You can find an Overview of clients screen here.
NOTE: In order for clients to appear on the correct tab you MUST mark an issue as complete once it has gone to print and mark Miscellanous as inactive.
EXAMPLE: if the client has bookings in any previous issue that is not marked as ‘Complete’ they will show up in the ‘Active’ tab.
(See the sections below 'Marking Issues As Complete' and 'Marking Miscellaneous as Inactive' below with links to the instructions).
Primary contacts only
By default all contact for a client will be displayed. To see only the primary contacts, toggle the ‘Primary Contacts Only’ switch at the top of the screen.

Client search
You can use the Search box to search for a client by company name, personal name, email or any other data contained within the client record.

Default display
You can choose whether you want MagManager to display your Active clients tab or All clients tab by default by going to the main settings page > Under Settings > Select System Defaults > Toggle on the "Show active clients first" switch.

All tab
By default, when you go to the Client screen, the All tab will display all your contacts. This is everyone entered into your MagManager account (excluding clients who have been marked as inactive on their client details tab)

Active tab
To see only Active clients, click on the "Active" tab.
Active clients are defined as clients who have a booking in the current issue or in future issues.

Prospects tab
To see only Prospects, click on the "Prospects" tab.
Prospects are defined as clients who have no bookings entered into your MagManager account.

Inactive tab
To see only Inactive clients, click on the "Inactive" tab.
Inactive clients are defined as clients who have previously booked but have no future bookings.
These are the clients with a Red x in the Inactive Column, those with a Green tick are only visible when the ‘Show Inactive’ toggle switch is on, they are clients who have been marked as inactive on the client details tab and are general hidden from view - see below.

From the inactive tab you can search for clients based on the month of their last booking. To do that select the month from the Last Booking drop-down menu. This will display only clients that have been inactive since that date.Selecting January 2026, for example, shows clients whose last booking was in that month or before.

Client marked as inactive on client record (hidden from view)
You would set a client to inactive on the client details tab by clicking the Inactive toggle switch to red. This setting is used for clients who have stopped trading, closed the business, have passed away, sold the business or for any other reason, if you do not wish to contact them again. They will no longer show up in searches.

To access these clients go to the clients screen > select the Inactive tab > then toggle the "Show Inactive" switch across the top to green.

These clients will then show up in the listing with a green tick in the last column headed Inactive. From here you can click on the client name to open their record.
NOTE: these clients will not appear in the list or search if the Show Inactive toggle is switched off.
Marking issues as ‘complete’
It is good practice to mark an issue as complete once it has gone to the printers and invoices raised.
Click here to follow the notes on ‘How to mark an issue as complete once it has gone to print’.
Marking miscellaneous as ‘inactive’
Once bookings are invoiced it's good practice to mark miscellaneous as ‘Inactive’.
Click here to follow the notes on ‘How to mark miscellaneous as inactive’.
