Steps to access the client details tab & update the client record

In MagManager, the client 'Details' tab is where you record the client contact details.

Step 1 - First, find the client by selecting Clients on the top navigation bar

Step 2 - Enter their name in the search box.

Step 3 - Click their name to open the client record. 

Step 4 - Make the changes to the record as required.

Step 5 - Click Update to save the changes.

Tip: Client quick search

You can also use the client quick search box top-right of the navigation bar on most screens in MagManager.

 

 

Overview of the client details tab

Company Details & Primary Contact

The company name, address and contact details are self explanatory.

 

Advertising As

Use this field if the client uses a name different to the company name and they would like to use that in the advertiser's index eg XYZ Ltd and they would like to appear as their trading name Blue Door Cafe.  

 

Sections & Categories

Choose a section from the drop-down menu to record a section against the client.  Sections can be found on the main clients screen and are used for creating the advertiser's index.

 

Dymo button (only visible when set up) 

If you have a Dymo address label printer, you can easily print an address label from the client details tab by clicking the blue Dymo button that appears next to the address if you have MagManager set up for Dymo. 

How to install DYMO Labelwriter printer - To set this up, go to Settings and then System defaults, and switch on “Use Dymo Printer” toggle. (The default supported label size is 89 x 28mm).

 

The Web & Social section

The URL for each website and social media account must be entered in full including https:// at the start. Without this the link will not work. Example the website site address magmanager.co.uk should be entered as https://www.magmanager.co.uk

Click the web and social icons to open up the pages in a new tab.

VAT Number / Registration No.

Use these field to record the client's VAT number and company registration number.

 

Lead Source

Record where the lead came from by choosing an option from the drop-down menu. 

Lead Sources  - You can add your own lead sources by going to Settings and clicking on Lead Sources in the Customers & Actions section.

 

Assigned To User

Choose a user from the drop-down menu to assign the client to a member of your sales team. All bookings made for this client will be assigned to this user.

 

VAT Exempt

If your business is VAT registered, turn on this toggle switch for clients such as charities or businesses who you do not charge VAT to. When this setting is turned on, No VAT will be added to the client's invoice.

 

Invoice Delivery

Choose from Email, Post, By Hand, Other. You will then be able to select invoices by delivery method from the Invoicing screen.

 

Invoice Period

You can choose from Per Issue, Twice per Issue (useful for bi-monthly publications who invoice monthly), 2 monthly, quarterly, 4 monthly, 6 monthly, annually and other options. 

 

Payment Method

Select from Cash, Cheque, Direct Debit, Debit Card, Credit Card, BACS, Standing order.

Selecting Direct Debit opens other options- see below.

ADD LINK TO PAYMENT METHODS You can add a new payment method, or switch off any of the existing options, by going to Settings and clicking on Payment Methods in the Accounts section.

 

Payment Terms

To set payment terms different to the default, enter the number of days here. The payment terms can be included on your invoices. ADD LINK TO PAYMENT TERMS SET UP The default payment terms are set up within Company Details.

 

Invoice Template

The main Invoice template will be used by default, there is no need to change this field unless you use multiple invoice templates, in which case you can select the invoice template to use for the client here.

Voucher Copies and Complimentary Copies

Clicking in these boxes will allow you to select from your publications. If you enter a publication in the Voucher Copies box, the client will be set up to receive a copy of the publication when they have a booking in that publication (you can enter more than one publication).

If you enter a publication in the Complimentary Copies box, the client will be set up to receive a complimentary copy regardless of whether they are booked in or not.

You can run a report to find a list of clients set up for voucher or complimentary copies, or to create booking labels for these clients. This is done by going to the Reports screen.

Direct Debit clients

For clients that pay by direct debit, you can select Direct Debit from the Payment Method options. When you do this, two more boxes will appear, allowing the DD Reference (maximum 18 characters) and DD amount. These will then be added to the invoice for direct debit clients if you set up your invoice template to include the direct debit line.

 TIP: It is also useful to set a company flag for direct debit customers, so that you can easily find them in searches.

 

Company flags

Click the box to choose a flag(s) to add to the client record.  

The flags you select will display next to the client company name at the top of the individual client screen.

Lists / Pipeline / Inactive

Add links to LISTS PIPELINES AND INACTIVE

List - add clients directly to an existing client list by selecting it from the drop-down list.

Pipeline - add clients directly to an existing pipeline by selecting it from the drop-down list.

Inactive - click to turn goggle switch to red, for client that are no longer active.  Eg business has closed down, no longer trading etc.
